Information we collect
When you send a project enquiry, we receive your name, email address, company if provided, project location, type of space, selected service, timing and message, together with your acknowledgement of this notice. Please do not include payment details, identity documents or sensitive personal information in the form. Hosting systems may also record technical information such as an IP address, request time, browser details and errors for site operation and security.
How and why we use it
We use enquiry information to understand your request, reply, prepare a proposal and communicate about the related project. Depending on the circumstances, our lawful basis is taking steps at your request before entering a contract, performing a contract, or our legitimate interests in responding to business enquiries and operating a secure website. Where we rely on consent, you can withdraw it by contacting us. The form does not sign you up to marketing.
How enquiries are delivered
The form sends your brief to hello@pfts-limited.co.uk through our email service. It does not automatically send a message to the address you type into the form. Correspondence and any subsequent project records are held in our business email and relevant project systems. Hosting and email providers process information needed to provide those services. We do not sell enquiry information.
Security and service providers
We use encrypted connections and access controls to protect information. Approved service providers may process data on our behalf. If personal data is transferred outside the UK, an applicable lawful transfer mechanism and safeguards must be in place. No internet transmission or storage method can be guaranteed completely secure.
How long information is kept
We retain enquiries only for as long as needed to respond, follow up on the requested project and meet applicable legal obligations. Where an enquiry becomes a project, relevant records are retained for the contract, accounting and legal purposes that apply. You can ask us about retention of your enquiry or request deletion. Short-lived form security records are pruned after one hour when the next request is processed; hosting logs follow the hosting provider’s retention arrangements.
Cookies and local storage
The enquiry form uses a necessary session cookie to protect submissions against misuse. It is not used for advertising or profiling. Brief security and duplicate-submission information is held in the session for up to two hours. We do not use advertising cookies, visitor analytics or social media tracking on this website. Fonts and images are served from this website. Interactive controls do not store a marketing profile.
Your rights
Depending on the circumstances, UK data protection law gives you rights to access your information, correct it, request erasure, restrict or object to processing, and receive certain data in a portable format. Contact hello@pfts-limited.co.uk to make a request. You can also raise a concern with the Information Commissioner’s Office.
